Academy terms and conditions

These terms cover booking a place on a Medasi Academy course, attending it, and what happens if you or we need to make a change. We have written them in plain English. If anything is unclear, please email hello@medasi.com and we will talk it through.

By confirming a booking, you agree to these terms on behalf of yourself and, where relevant, your organisation.

Booking and confirmation

A place is held when you register interest and confirmed when we have:

  • agreed which cohort you are joining

  • received a signed booking form or written confirmation by email

  • received payment, or a purchase order from your organisation that we have accepted in writing

Cohorts are small and places are limited. We allocate places in the order bookings are confirmed. If a cohort is full, we will offer you the next available date.

Fees and payment

The course fee is the figure quoted in writing at the time of booking. It covers tuition, course materials, refreshments and any artefacts produced during the cohort. It does not cover travel, accommodation or expenses.

Unless we have agreed otherwise in writing, fees are invoiced on confirmation of booking and payable within 30 days, and in full before the course begins.

Fees are quoted in pounds sterling. Where VAT applies, it is shown separately on the invoice.

Substitutions

If the person booked can no longer attend, you may send a colleague in their place at no extra cost, provided they meet the seniority and experience the course is designed for. Please let us know at least five working days before the course starts so we can brief them properly.

If you need to cancel or move dates

We understand that senior diaries change. If you need to cancel or move to a later cohort, the position is:

  • More than 28 days before the course starts. Full refund, or transfer to a later cohort at no charge.

  • Between 14 and 28 days before the course starts. 50% refund, or transfer to a later cohort for a £250 administration fee.

  • Fewer than 14 days before the course starts, or once the course has begun. No refund, but you may send a substitute, or we will hold the fee against a place on a future cohort within 12 months at our discretion.

To cancel or move dates, email hello@medasi.com. The date your email reaches us is the date we use.

If we need to cancel or move dates

Cohorts depend on a viable group coming together. Occasionally we may need to postpone or cancel a cohort, for example if numbers fall below a workable minimum, if a tutor is unwell, or if circumstances outside our reasonable control prevent the course running safely.

If this happens we will:

  • tell you as soon as we can

  • offer you a place on the next available cohort

  • or refund your fee in full if a transfer does not suit you

We are not able to cover travel, accommodation or other costs you may have incurred. We recommend booking flexible travel arrangements where possible.

Attending the course

Courses are run as small live cohorts in London. We expect participants to attend in person for the full programme. Material builds across the sessions and partial attendance limits what we, and the rest of the cohort, can get out of it.

We ask everyone in the room to engage in good faith. The format is conversational, and the quality of the experience depends on people being present, prepared and willing to contribute. We reserve the right to ask anyone whose conduct is disruptive, disrespectful or unsafe to leave, without refund.

Course materials

You may keep and use the materials we provide, and the artefacts you produce on the course, freely within your own organisation. We retain the intellectual property in the underlying materials. Please do not reproduce, publish or share them outside your organisation, or use them to deliver training to others, without our written permission.

Confidentiality

Much of what we teach is drawn from real engagements, and much of what is shared in the room comes from the working lives of the people attending. We treat both with care, and we ask the same of you.

What is said in the cohort stays in the cohort. Specifically:

  • Do not attribute or repeat outside the room anything a fellow participant has shared about their organisation, colleagues or programme.

  • Do not record sessions, in audio, video or transcription, without our written consent.

  • Treat case material we share as confidential to the cohort.

We apply the same standard to ourselves. Anything you tell us about your own organisation stays between us, unless you ask us to share it.

Your data

We collect only the information we need to run the course well: your name, role, organisation, contact details, dietary requirements and anything you choose to tell us about your context.

We use it to administer your booking, prepare for the cohort and stay in touch with alumni. We do not sell it, and we do not share it with third parties beyond what is necessary to deliver the course. Our full privacy notice is at [link].

If something goes wrong

If any part of the course falls short of what we promised, please tell us. Email hello@medasi.com and we will look into it promptly and try to put it right.

Nothing in these terms limits our liability for fraud, for death or personal injury caused by our negligence, or for anything else the law does not allow us to limit. Beyond that, our total liability in connection with a course is capped at the fee paid for that course.

We are not liable for indirect or consequential losses, including loss of profit, loss of business opportunity or loss of goodwill.

Changes to these terms

We may update these terms from time to time. The version that applies to your booking is the version in force on the date your place is confirmed.

Governing law

These terms are governed by the law of England and Wales. Any dispute we cannot resolve between us will be dealt with by the courts of England and Wales.
